6.00 Secretary Job Description

The Bylaws as adopted June, 2002, "Duties of Officers," state:

The Secretary shall keep an accurate record of the proceedings of the Association and of the Board of Directors; shall conduct the correspondence as directed by the President; shall keep a complete list of members of the Association; shall be a member of the Board of Directors; and shall perform other duties commonly assigned to such an office.

In addition to the current Bylaws and to the Job Description for All Elected and Appointed Members of the Board as described in Page1.00of this section, the Secretary will:

  1. Attend and keep an accurate account of proceedings of all meetings of the board of directors and the general membership.
  2. Distribute copies of the minutes of proceedings to all members of the board of directors, appointed chairs and affiliation presidents, past presidents, and the advisor(s) within two weeks following each meeting.
  3. Maintain the official record book containing, minutes, membership list (updated at least once a year, unless otherwise necessary due to significant changes), official correspondence, and other information pertinent to the operation of the organization.
  4. Handle correspondence as necessary or as directed by the president and/or the board of directors.
  5. Submit minutes of the final board meeting and the annual meeting within two weeks of the annual meeting.
  6. Perform any other duties commonly associated with the office of secretary or as directed by the president or the Board of Directors.
