16.00 Ways and Means Chair

The Bylaws, as adopted in June, 2002, "Committees," state:

The committee shall suggest ways of raising funds for the Association and shall be responsible for the sale, distribution and publicity of the items suggested. Profits generated from the Ways and Means Committee shall go to the scholarship fund.

In addition to the Bylaws and to the Job Description for All Elected and Appointed Members of the Board as described in Page 1.00 of this section, the Ways and Means Chair will:

  1. Generate funds through sales of items to members.
  2. Means of generating funds include, but are not limited to, sales of items including pencils, note pads, membership pins, raffle tickets, and other items that will appeal to membership and promote the organization.
  3. Secure item donations from members and affiliates to sell at conferences. Donations from outside sources should also be secured whenever possible.
  4. Work with the treasurer to secure Board of Director approval prior to making purchases over $100 for resale items.
  5. Set up and staff Ways and Means table at spring and fall conferences. Present and display items in a way to generate sales. Recruit assistance from others when necessary, to staff the table at conferences.
  6. Advertise to members, items available from Ways and Means at conferences, via announcements, and prior to conferences in newsletters.
  7. Submit informative articles to the EOPO newsletter to keep members aware of Ways and Means products.
  8. A mail order system for certain items can be set up and advertised in the EOPO newsletter. Such a system should provide for funds to cover mailing costs.
  9. Maintain a file of sources for items to be sold.
  10. Maintain accurate records of successful sales projects as well as items that did not sell well.
  11. Maintain cash records and submit ail incoming money to treasurer on a timely basis.
  12. Submit all invoices promptly for payment.
  13. Perform additional duties related to organization fund raising as assigned by the Board of Directors.
